A class booking tool will become imminent when your box’s member count exceeds a certain point. Most of the people have quite a similar day schedule, which leads to a situation where some classes become regularly more popular than others. An overbooked CrossFit class is almost impossible to manage as there are not enough places to work out and people who need help might not be able to get it, not to forget the increased risk for injuries.
We have been shaping our booking tool step by step to match the needs of gym owners as well as their clients. As a result, we have a booking system specifically tailored for functional training and CrossFit gyms. So, what’s in it for athletes and gyms, how does it work?
Gym admin: How do I schedule a new class?
To book classes, click Bookings from the navigation or Book classes at your gym from the sidebar of your gym feed.
To schedule a new class, click New class slot. Name the class, pick a date, time and recurrence. Assign a coach and determine the size of the class. Add a description and choose what kind of settings you want for the class.
Your class will appear on the Bookings page, where you can choose the view from the calendar on the left. The page tells you if you have booked classes or have classes to coach.
Coaches and gym admins have the right to book, edit and remove classes.
Gym admin: Can I restrict my athletes’ rights to book classes?
The general rule is that athletes can participate to one class only per day. When scheduling a new class, gym owners can override that rule for place class type. This is useful for example when you have a mobility class, and you want to give the possibility to attend that class in addition to a normal WOD on the same day.
Another restriction that gyms can set is related to billing. When a gym uses both billing and booking systems, gym admins can decide to allow only paid members to book classes. In addition, booking can be prevented from members that have overdue bills. These rules can be set to one specific class or for a whole class type.
Booking rights can also be restricted to certain types of memberships. To do this, tick the box booking restricted to certain memberships when adding a new class and choose the memberships you want to give permission to book the class. This feature will be useful if you are selling for instance day memberships for a lower price and you want to restrict the possibility to book classes during the evening.
Athlete: How do I book classes?
If your gym uses WODconnect class booking system, you will see a Book classes at your gym button on the right sidebar of your gym feed. Clicking it will take you to the class view, where you can choose which classes you want to attend.
When you book a place from a class, the number of participants and information on the left side of the page will update. You can cancel the booking by clicking the red cancel button that appears when you have booked the class.
Athlete: What if the class I want to attend is full?
Classes have a queueing possibility, which can be switched on and off by the gym admin. When switched on, athletes can join a queue if all the spots for the class are taken. If a participant cancels, the first athlete in the queue will automatically get her place and an email notification about it. Pro-users will also receive an SMS-notification.
Gym admin: What kind of queuing and cancellation settings are there?
Classes have a queueing option, which can be switched on in the gym admin settings. Athletes can join the queue if all spots for the class are taken. Gym admins have the possibility to set a cancellation policy for classes. They can determine for example that cancellation can be made no later than two hours before the class starts. This can be done in the gym admin settings.

Gym admin: Can I track my athletes’ bookings?
WODconnect tracks class attendance, so gym admins can see how many classes an athlete has participated. This information can be viewed in the athlete profile.
